Privacy Policy — Healing Horizons Counseling LLC

Healing Horizons Counseling LLC ("we," "us," "I") respects your privacy. This policy explains what information this website collects, how it is used, and the choices you have. It applies to healing-horizons.org and to the business tools I use to run the practice.
This is a website and technology privacy policy. It is not a Notice of Privacy Practices under HIPAA. If you are a client, your clinical privacy rights are described in the separate Notice of Privacy Practices provided at intake.
Information collected through this website
If you use the contact form or email me, I receive what you choose to send: your name, email address, phone number, any files you attach, and the content of your message.
Like most websites, the hosting provider records basic technical information automatically — such as pages visited and general device or browser type — for security and to understand how the site is used.
Please do not send clinical or sensitive health information through the website form or by ordinary email. Those channels are convenient, not confidential. Once we begin working together, communication happens through the secure client portal.
Scheduling and client records
Appointment requests are handled through a secure client portal at therapyportal.com. Clinical records are kept in TherapyNotes, a practice-management system built for clinical use. Those systems have their own privacy and security policies, and your records there are governed by them and by the Notice of Privacy Practices you receive at intake.
Email and documents
Email at zach@healing-horizons.org runs on Microsoft 365; Google Workspace is used for administrative documents and files; and the website is hosted on WordPress at HostGator. Practice administration — scheduling correspondence, invoices, referral letters, business records — may be handled through those services.
I also use software tools, including automated assistants operating under my direction, to help run the business side of the practice. Those tools may process scheduling and administrative information. They are not given access to clinical records, session content, or identifying details about the people I see.
What I do not do
- I do not sell your information.
- I do not share it for advertising or targeted marketing.
- I do not use your information to train artificial intelligence models.
- I do not disclose it to third parties except to the service providers listed above, or where the law requires it.
Service providers
Running this practice requires a small number of vendors: website hosting (WordPress at HostGator), the scheduling portal (Therapy Portal), clinical records (TherapyNotes), practice email (Microsoft 365), administrative documents and files (Google Workspace), and email marketing for practice updates (MailerLite). Each holds only the information needed for its function.
How long information is kept
Contact form inquiries are kept while they are useful and then deleted. Clinical records are kept for the period required by Missouri law and professional standards. Business and financial records are kept as required for tax and accounting purposes.
Your choices
You may ask what information I hold about you, ask for a correction, or ask that it be deleted, subject to legal and clinical record-keeping requirements. Email zach@healing-horizons.org and I will respond within a reasonable time.
You can also ask to be removed from any practice mailing list at any time using the unsubscribe link in every message, or by emailing the address above.
Security
I take reasonable technical and administrative steps to protect information, including access controls and encrypted transmission. No method of transmission or storage is perfectly secure, and ordinary email in particular should not be treated as private.
Children
This website is not directed at children, and I do not knowingly collect information from anyone under 13 through it.
Changes to this policy
If this policy changes, the revised version will be posted here with a new effective date.
